Convention Registration
Registration form
Nickname / Furname – This is the name that will be printed on your conbadge.
E-Mail Address – The e-mail address to which all correspondences will be sent and which will be associated with your registration.
First Name – Your real first name. While not printed anywhere, it is required as part of our identity verification process.
Surname – Your real last / family name. As with your first name, this will not be printed anywhere.
D.O.B – Your birth date. Attendees must be 18 or over.
Address – Your postal address. Used primarily in identity verification, but also
in the event that postal notification is required.
Country – So we know where you’re traveling from!
Telephone Number – Either a landline or mobile number which Scotiacon Staff could use to reach you if needed.
Emergency Contact Number – in the event of an emergency (e.g. medical), the name of the person to contact. (optional)
Emergency Contact Name – As with the emergency number it will only be used in emergency situations and is also a not essential field but should you wish for a specific person to be contacted then name them here.
Gender – Will be used to help us estimate orders for ScotiaCon merchandise more accurately
Membership Level – A very important selection so please double check it before submitting your registration as it will determine the final cost of your attendance and also what you will receive as part of your attendance pack. For more information please visit the Pricing page.
Additional Questions – whilst optional, any answers provided will help the ScotiaCon staff prepare more effectively.
Any Other Requirements – This space should be used to list any specific needs, dietary or otherwise, however please leave medical requirements for the next section.
Medical Issues – Please list any medical conditions that affect you on a day to day basis and would be important for the ScotiaCon staff to be aware of should anything happen to you. Although it has already been asked for, please include details such as sensitivity to flashing / strobing lights or artificial smoke which may be used during the convention.
Conbadge Picture – This is the picture that will be printed on your conbadge. Please consider if the image you’re uploading is appropriate to be displayed in public. Any images that include nudity or sexually suggestive posses will be disregarded immediately and you will be asked for a replacement image. Any images that fall into a questionable grey area will decided on a case by case basis. If the image you upload does not meet our quality standards for good reproduction on the conbadge you will be informed and advised to supply a different / higher resolution image.
CAPTCHA Code – Our simple way of warding away any bots that decide they’d like to register for ScotiaCon.
In some instances, although you may have registered for your place at the convention early on the final decision on who will receive places at the convention will be decided by the staff. This will only happen in rare cases where the well-being and success of the convention will take precedence over the first-come, first-served rule otherwise, generally the first-come, first-served rule will be adhered to.
You will automatically receive an e-mail after submitting your registration form informing you it has been submitted correctly you will then receive a further e-mail confirming the receipt of your registration containing all the information you submitted so that you can check it inform us of any corrections should they be needed.
Terms of Registration
These terms and conditions are bound to your convention ticket. Buying a ticket signifies your acceptance of these terms. Breach of the terms invalidates your ticket.
- We reserve the right to update these terms and conditions. If we do, we’ll make a reasonable effort to contact our registered users to let them know.
- Your registration is not complete until it has been paid in full and approved by us.
- You agree not to hold ScotiaCon UK Limited or its staff liable for injury or loss/damage to person or property while arriving, attending, or departing the convention. The full liability waiver is listed below and acceptance of it, while voluntary, is a condition of sale.
- The hotel is private property and the hotel and convention staff have the right to refuse entry for any reason.
- Payments are non-refundable, but may be transferred to a different registration.
- You must be at least 18 years old by the start of the event.
- You must respect the wishes of the hotel and convention staff and security personnel.
- You must accept and abide by the code of conduct. If you breach the rules, your registration (and hotel booking, if any) may be cancelled and you will be escorted from the premises.
Liability waiver
You agree to take reasonable precautions to prevent injury to yourself and your property during the convention. As a condition of attending the convention, you hereby, for yourself, your heirs, executors, and administrators, voluntarily and freely agree to assume all responsibilities for any and all risks of damage or injury that may occur to you or your property resulting from or arising out of, or incident to, your attendance of the convention. You hereby voluntarily and freely release and discharge the ScotiaCon UK Limited and all of its employees, agents, successors, and assignees from any and all claims, damages, and rights of action that you, your heirs, executors, and administrators now have or may hereafter have for any injury to you, or your property resulting from or arising out of, or incident to, your attendance of the convention, including, but not limited to, any claims of damages or injury that might result from the negligence, actions, or omissions of the organisers of the convention and/or employees of the ScotiaCon UK Limited
Dealer’s Den Registration
Terms of Registration
- The Convention reserves the right to refuse a Dealer table to anyone for any reason.
- The Convention Staff reserve the right to prohibit the sale of any item they deem inappropriate at any time, shut down a table, or make other requests with which you must comply, without refund or compensation.
- If exceptional circumstances force you to abandon your table, refunds and compensation may be offered at the discretion of the Den management.
- You may not resell your table to another party; if you cannot attend, or wish to cancel for any reason prior to the convention, you may do so without charge – however we would prefer notification in advance, so we can make the space available to others. The deadline for such cancellations is three weeks prior to the convention, except in exceptional circumstances.
- Failure to notify us in advance of your intention to drop out from your confirmed space, may jeopardise your eligibility for a space in the Dealers’ Den in future years.
- We would strongly advise you be ready, and at your table in time for the initial opening of the Dealers’ Den on the Saturday of the convention – if you have not taken your space by midday, we reserve the right to pass your table to other interested parties without any notification.
- Please refrain from activities that might distract or disrupt other dealers.
- Keep pathways clear – your main areas for storage are under your table. No-one should be sat in front of your table.
- The use of photographic and video recording equipment is prohibited.
- We would prefer that only furry merchandise be sold in the Dealers’ Den, though generally related items, such as Anime, are fine.
- No items may be sold which depict the ScotiaCon logo or other company trademarks (e.g. Wallace) without express consent of the ScotiaCon management or the respective company.
- Similarly, no items depicting copyrighted characters or trademarks may be sold unless the seller can provide written permission, from the copyright holder, to the convention staff during the convention.
- The Dealers’ Den, as with the rest of the convention, is for over 18s only, so adult oriented materials may be sold. However, we would ask that such items be kept out of sight or in clearly marked folders, unless they are being looked at. Where practical, separate adult and non-adult art.
- Furthermore, the categories listed on the Prohibited Items list below are entirely off-limits and banned from the Den.
- We also do not permit the sale of sex toys, fetish items or anything else that the Dealers’ Den staff deem to be inappropriate for the setting.
- We cannot allow the sale of food or beverages by dealers in the Dealers’ Den, though you can put a bowl of free sweets out on your table.
- Your soul / family / favourite child (delete as appropriate) is at risk if you do not keep up payments of Haggis to Wallace, the value of your selection may go up as well as down.
This is a secondary registration, and is not needed to complete your registration for ScotiaCon. If, however you wish to have a table at the dealer’s den, you MUST let us know no later then Wedensday 27th June 2012 23:59 BST. This date may change at any time, so please keep an eye out for news on the home page.
It is important to note that submitting for a dealers den space doesn’t automatically guarantee you a Dealer’s Den space at ScotiaCon 2012. You will receive an email upon successful registration, which means the staff will be reviewing your application. If your application is successful, you will be sent an email from the staff no later then 1 month from the start of the convention to confirm this.
You must agree to the terms and conditions of the Dealer’s Den in order to secure a table. If you are found breaking any of these terms and conditions before and/or during the convention you will be removed and/or banned from the convention.
You must inform the staff of any changes after your registration that might affect what you are selling. Failure to do so will result in removal and/or banning from the convention.
Prohibited Items
We try to be accepting and open to a wide range of subjects, but we must also operate within the law and the best interests of taste and decency. Therefore, there can be no items for sale or display (publicly or otherwise) at the convention which depict any of the following:
- We do not allow anything that violates European and/or UK law. This includes (but is not limited to) weapons, imitation weapons and drugs (illegal or otherwise) as well as topics listed below.
- We do not allow any items made of real animal parts, nor any sale of such fabrics. This includes pelts, fur and any other parts.
- No excessive violence and cruelty (even in non-sexual context). Violence in general is allowed on a reasonable level, including blood, gore or hunting. If you are in doubt about that rule, show the picture to the Dealers’ Den staff first.
- No depictions of rape or other non-consensual violence in combination with sexual content. Bondage or sub/dom depictions are allowed. Consensual sex of any kind, regardless of species and gender, is allowed (unless covered by the rules below).
- No pedophilia / “cub porn”. We are aware that this is a difficult rule since the actual age of drawn characters is open to interpretation, especially where the characters are drawn in a cartoon style. Appearances count; characters with a very childlike appearance and/or baby face may be considered “children” in the context of this rule. Again, please ask a member of Dealers’ Den staff if you are unsure whether this rule applies to any of your items.
- No zoophilia and/or bestiality involving humans or largely human-like characters (e.g. anime catgirls, elves, or centaurs) with animals or largely non-morphic characters (four-legged) is allowed. Other species-transcending sexual activity is generally allowed.
- Toilet activities are discouraged. That includes scat, watersports, adult diapers in use, or vomit. We do not exclude that content, but we do appeal to your sensitivity and common sense in showing excretional fetish work, which may not be suitable for a wide and varied public. If you are in doubt, please seek advice from a member of the Dealers’ Den staff.
- No discriminatory, derogatory or offensive items may be sold. If you are in any doubt, please contact a member of Dealers’ Den Staff.
Art Auction
Rules for sellers
- ScotiaCon (referred to hereafter: ‘we’) reserves the right to refuse an item for any reason.
- We prefer that all items for submission should be brought to the Auction area during the Dealers’ Den setup period on Friday. Items will be accepted after this time, up to noon on Sunday.
- The Auction and the entire convention is for adults only, so adult oriented materials may be sold. However, please ensure the item is covered in some way which enables the convention staff to censor it (e.g. a plastic wallet)
- Furthermore, items featuring content from the prohibited items list below will not be permitted.
- We like artists to display their own characters and creations. If you use other peoples’ characters, you should ask for the approval of the creator; it’s the polite thing to do.
- Similarly, no items depicting copyrighted characters or trademarks may be sold unless the seller can provide written permission, from the copyright holder, to the Auction staff during submission.
- You may not alter your items’ minimum bid after a bid has been placed on it.
- You may not retract an item after a bid has been placed on it.
- We act only as a broker for the sale of your item, however the contract of sale exists between you and the buyer. At no point does the convention accept any liability or exert any ownership rights over any Auction items in its custody. You may not circumvent the transaction process we provide.
- Payments of any money you make will be made between 11am and Noon on Sunday 17th July 2011 in the Dealers’ Den. You may not collect payment from the buyer yourself.
- In the event that an item does not sell, you may collect it from the Den during Auction collection on Sunday 17th July 2011. If you fail to collect the item, the convention will hold the item on your behalf. However, items will be only be returned to you once an administration fee is paid, as well as full postage, packaging and insurance costs.
Rules for bidders
- No cameras or camera phones may be taken in to the Auction display area. Such items can be left at the Security table next to the entrance and collected on your departure.
- Interference with the bid sheets (other than placing your bid) is prohibited for anyone other than Commerce Department staff. This includes, but is not limited to, flipping, folding or removing the bid sheet or altering other attendees’ bids. If you are found to have interfered with the bid sheet in any way you will be asked to leave the room and your bid on that item may be considered void.
- You may not retract your bids once you have placed them. If you have made a mistake on the bid sheet, please contact a member of staff.
- The entire Auction is conducted in British Pounds Sterling (£GBP) – bidding increments must be in whole pounds only.
- Once an item reaches 4 bids, it will automatically be entered in to the Live Bidding event on Sunday evening, however if there are insufficient items to fill the Live Bidding, then items which have reached a minimum of 2 bids may be put through at the discretion of the Auction staff.
- A list of items that have been elevated to Live Bidding will be published shortly after the close of the Dealers’ Den on Sunday and will be posted in the following locations: Outside the Dealers’ Den entrance, on the door to the Main Stage, in the Hotel Foyer, outside Convention Operations.
- Whilst we facilitate the sale of items, your contract to buy (if you win an Auction) is with the seller only. We will facilitate the transaction, which transfers ownership of the item from the seller, to yourself as the buyer, At no point do we exert any ownership rights on any item. You may not circumvent the transaction process we provide.
- Payment for any items you buy in the Auction must be made at the Dealers’ Den between 9am and 11am on Monday 9th May 2011, except in very exceptional circumstances.
- In the event that you win an item, you are legally obliged to pay the full amount of the bid during the collection period. If a you fail to pay in full, we will withhold the item until payment is completed. After the collection period, items will be only be dispatched once payment is completed in full, plus an administration fee, as well as full postage, packaging and insurance costs.
